The 2020 Annual Conference Session is quickly approaching. We are continuing with the three-day format, beginning at 10:00 AM on Friday, June 5, and ending by 4 PM on Sunday, June 7, during which we anticipate a time of renewal, learning, worship and decision-making. Our hope is that every person come away from Annual Conference energized and excited about our shared mission to make disciples of Jesus Christ for the transformation of the world. During our time together, you will receive new ideas to take back home, and hear differing perspectives and be motivated for ministry in your context. Please note, given the short turnaround between General Conference and annual conference (12 business days apart), the Conference has no intention in taking up business from General Conference during this year’s session. Normally, the annual conference would respond to General Conference legislation the year following General Conference. Bishop Farr has indicated that if there is legislation for Missouri to respond to, we would take it up in a special session of annual conference later in the year.
Registration: Registration may be online or by mail. To register quickly and efficiently online, please visit our Annual Conference webpage at www.moacinfo.com. Payment will be required at the time of registration. Event registration will open at 9 AM on Tuesday, March 10.
As a retiree or student pastor not serving a church, your registration fee if registered before May 1 is $0. If you register after May 1, you will be charged a $40 late fee for registration.
Please note that the Conference Journal is not included with registration. If you do wish to receive a journal, please indicate this on the appropriate line of the registration form, adding $30.00 to your registration fee for a paper version or $6.50 for a CD version. The Journal is available free on the Conference website in pdf form once published. If you are not attending the session but want a journal, you MUST pre-order it and pay the appropriate fees. In an effort to be good stewards, we will not print “extra” journals.
If you are unable to pay for any reason, please contact the registrar (Heather Birge, firstname.lastname@example.org, 3601 Amron Court, Columbia, MO 65202). Early registration is due no later than May 1. Please register early and online if possible. This allows for better planning, reduced hotel change fees and a smoother conference session. Late fees will apply to any registrations postmarked or made online after that date. Guests may register at a reduced rate.
Meals: We do not offer general meals except for Friday dinner. The University Plaza has increased its seating capacity for its restaurant, and offers a free hot breakfast for those staying onsite. Additionally, there is a small coffee shop in the lobby of the University Plaza hotel with Starbucks® coffee, light pastries and some lunch options. There will also be healthy menu choices available at the Expo Center Snack Bar for your convenience. Most participants walk or drive to offsite lunch locations.
For FIRST-TIME lay members, there will be a first-time attendee lunch on Friday. You must register for this FREE lunch in order to attend. This lunch is hosted by the Lay Ministry Team and will offer those new to annual conference, or those who have not attended in more than 10 years, a great chance to get oriented and meet some new people.
Saturday evening will be a free-night. The Springfield Cardinals are playing against the Northwest Arkansas Nations (the Kansas City Royals minor league affiliate) and we have negotiated a discounted ticket price. You can purchase tickets here when they go on sale at the end of March. Click tickets > individual game > June 6. The coupon code is Methodist. You can find specific seating and pricing information attached.
On Sunday morning the United Methodist Women will have their 14th Annual Walk for Missions. It will start at 6:45 AM from the Expo Center.
Childcare will be provided during conference activities and is available for children from birth through completion of 8th grade (found on the mail-in registration form or at www.moacinfo.com). The deadline for child care registration is May 1. Safe Gatherings guidelines require certified staff in specified child to adult ratios. Please register early! We cannot accept registrations for child care after the deadline due to the difficulty of securing certified help for the hours required. There is a limit to capacity for the childcare option. Please register early.
Lodging will be coordinated through the Springfield Convention and Visitor’s Bureau (SCVB). Go to www.moacinfo.com. (The actual lodging registration link will not be available until 9 AM on Tuesday; March 10. The link will not just appear if you are waiting for it prior to 9 AM. You will have to refresh your screen at 9 AM to be able to access the link). This registration system will allow you to choose your hotel on the SCVB’s website. Please be prepared to select your choice of hotel, room style, and any special request. You will be required to reserve your room with a credit card, and you will receive immediate confirmation of your selection. Please be aware that your room is not reserved at a particular property until you click the submit button and receive confirmation of your reservation.
2020 Pre-Conference Briefing will be held on Thursday, May 28, 2020; 10 AM – 12 PM that will include reports with non-voting matters and a preview of the upcoming session. There will be options to watch live as well as a recorded option. More details to come.
If you have received this mailing as a Lay Member from your congregation and someone else will be attending, please pass this information along (quickly!) to that person and ask your pastor to notify your district office so they may make the change in the listing of Local Church Officers.
Between now and June 5, we will be sending occasional emails that answer a variety of frequently asked questions. Upon arriving in Springfield for the Annual Conference on Friday, please come to the Springfield Expo Center for your conference registration. Most hotel check-in times are 3:00 PM and your room may not be ready. You will be required to guarantee your reservation with a credit card, but this should insure that your room is held for late arrival. Conference registration will be open 8 AM – 12:00 PM in the area behind our exhibitors in the Trade Center. Check at the Annual Conference office in the upper Trade Center for late registration.
